SUMMARY

The Campus Director of Physical Plant is responsible for planning, organizing, developing, evaluating and effectively directing the Engineering/Maintenance staff and programs in order to ensure a safe and secure environment for all customers consistent with regulations and established best practices. The Director will oversee and manage the Engineering Department to ensure the buildings’ physical plant is operational to meet the needs of residents, tenants and staff, supervises and oversees the maintenance of the facility and grounds, keeps them in good repair, and oversees the use of contracted services for the building, grounds and equipment maintenance.

PRIMARY RESPONSIBILITIES

  • Direct the operations of the Engineering department, including supervision and development of staff. Plan, direct, implement and oversee all services and procedures related to the overall operation, maintenance and repair of the building, grounds and equipment consistent with regulations, established policies, procedures and best practices.
  • Buildings & Grounds – Establish, implement and maintain a plan for maintenance/engineering services consistent with resident needs, safety issues, operational needs and budget parameters. Participate in completing scheduled plant operations work. Regularly solicit customer feedback and incorporate solutions regarding customer satisfaction with services. Establish and maintain effective communication systems with all customers. Supervise the work of planned construction projects. Coordinate the work and assist with obtaining, maintaining and updated of contracted services related to building, grounds, and equipment maintenance. Implement an effective pest control program. Coordinate fire and emergency procedure drills according to regulatory requirements. Develop, implement and maintain a complete grounds care and snow removal program.
  • Equipment – Confer with Site Leaders, equipment representatives, contractors, and sales representatives regarding building equipment problems, service contracts and future expansions. Ensure maintenance of campus equipment (boilers and related auxiliary equipment) in safe operation condition at all times. Ensure emergency power system and procedures are functional and in place Maintain building ventilation systems to provide good air movement with acceptable temperature, humidity and odor levels. Ensure monitoring, maintenance and testing of fire panels, extinguisher, security panels, resident call systems, electrical, alarm and other systems per regulatory requirements and standards of practice.
  • Preventive Maintenance Program –Implement the established Preventive Maintenance program in collaboration with site leaders. Input all building and grounds equipment into the established program to create and implement a preventive maintenance schedule for all equipment. *
  • Develop, implement and maintain annual budget for Engineering/Maintenance Services. Prepare and maintain regular reporting of financials, supplies, equipment, staffing etc. in relation to budget and strategic plan items. Manage resource allocations, including use of supplies, equipment and labor in order to achieve or exceed operational goals. Ensure compliance with corporate capital expenditure and operating expense-reporting systems recommend or institute changes in techniques or procedures for more efficient operation.
  • Maintain adequate inventory of supplies and equipment to sustain operations.
  • Provide for an adequate staffing model, schedule and on-rotation that meets customer needs and financial goals. Demonstrate good stewardship of available resources.
  • Ensure the oversight of the Engineering departments, including planning, budgeting, and delegating to ensure the buildings’ physical plant is operational to meet the needs of residents, tenants and staff.
  • Create and maintain a work environment for employees that is conducive to high productivity and morale. Establish and maintain effective communication systems with employees. Provide ongoing employee educational and development opportunities that meet regulatory requirements and increase knowledge and opportunities for growth.
  • Organize staff education and ensure department compliance with applicable regulations. Ensure that employees fulfill required educational requirements and stay current with technologies and operating procedures.
  • Lead and manage the department, participating in performance management and corrective action when necessary.*
  • Conduct interviews and oversee the hiring process to ensure quality services are provided to all residents and tenants. *
  • Serve as a resource for residents, tenants and families and respond to concerns as appropriate.*
  • Create and administer budget, including overseeing all department related purchases.*
  • Ensure necessary tests and inspections are completed timely to guarantee compliance with necessary building code standards and regulations.*
  • Participate in the development of Engineering/Maintenance and Emergency & Disaster Preparedness policies, procedures and practices that are consistent with regulations and established best practices;
  • Ensure that employees understand and follow policies, procedures, regulations and established practices.
  • Participate in campus Safety Committee and efforts or designate a representative. Apply the knowledge and skills needed for the position including technical competence in the field. Use discretion and independent judgment to compare and evaluate possible courses of action and decision-making.
  • Maintain knowledge of organization and industry policies and practices. Develop and monitor strategic plan components.
  • Use the quality management process to meet the needs of residents, staff and overall building, grounds and equipment operations. Develop, maintain and monitor timely and effective systems for work order collection, prioritization and response for routine and emergency work, special projects. Maintain engineering records and reports to ensure compliance with regulations and established best practices. Ensure documentation is maintained to comply with applicable regulations.*
  • Ensure appropriate and timely use of computerized maintenance software to respond in a timely and appropriate manner to work-order requests/apartment turnover/preventative maintenance, as well as maintain log and/or record of services performed. *
  • Assist with various other Physical Plant responsibilities as needed.

JOB SPECIFICATIONS

Education, Experience and Credentials

  • Degree from an accredited technical school, college or university in Engineering, Building Operations or related field required; or equivalent experience determined at management discretion.
  • Five or more years’ management experience in facilities operations required, preferably in a senior services setting.
  • State of Minnesota First Class “C” or higher Boiler’s License preferred.
  • Certified Pool Operator (CPO) license preferred. Upon hire, must obtain CPO within three months. (East Campus Only)

e. create newsletters/communications informing residents/tenants and families of upcoming programs and events including recreation opportunities within the community, as needed.

  • Coordinate with family to provide leisure supplies for residents/tenants as needed.*
  • Assist in tracking inventory, placing orders and inspecting equipment and supplies.*
  • Utilize Listen, Understand, and Act techniques, as needed with residents/tenants.
  • Complete paperwork for program-related requests (i.e. catering, bus, room set-ups). *
  • Work with the Therapeutic Recreation Director to stay within the assigned budget. *
    • Communicate and track costs for all supplies/materials, special programs and events, etc. *
  • Work with the Therapeutic Recreation team in scheduling campus wide programs and events, and support these events as requested. *
    • Assist with scheduling musical entertainment and other performances, weekend special events, luncheons, dinners, community outings, etc. *
    • Secure community support for off-site outings including making reservations, ordering tickets, etc.
  • Coordinate programming with other departments, individuals or groups inside and outside of Sholom. Including but not limited to:
    • Communicate with the Environmental Services department for desired set-up of space used for programs or events as appropriate.*
    • Communicate with the Nutritional Services department for all special food and beverage requests for programs and events as needed.
    • Serve on, participate in and attend meetings including various committees, campus-required in-services, and facility meetings designed to enhance interdisciplinary process, as assigned. *
  • Operates passenger bus/van as needed to assure safe transportation of residents/tenants to and from various program destinations and assists residents or tenants before, during and following transport. Ensure the health and safety of residents/tenants by driving safely and obeying all traffic and Sholom regulations.
  • Follow all company policies and procedures.*
  • Perform miscellaneous projects and complete various tasks as requested by management.


Care Center & Assisted Living Specific Functions

  • Participate as a member of an Inter-Disciplinary Team (IDT) to assess and address resident/tenant needs in a consistent cross-disciplinary manner. *
  • Create and maintain a variety of documents, records and reports including:*
    • Meet and greet new residents/tenants and complete initial clinical therapeutic recreation assessment. *
    • Complete all necessary paperwork and documentation ensuring compliance with the Minimum Data Set (MDS) 3.0 as needed. *
    • Communicate and care plan MDS findings to IDT, as appropriate.
    • Track resident/tenant leisure participation (programs and independent). *
    • Update IDT about significant observations and/or concerns with residents/tenants. *
  • Promote a spirit of cooperation with all regulatory organizations managing with an expectation of appropriate compliance and corrective measures.*Denotes Essential Functions of the position.

Full Job Description

The Registered Nurse (RN) (a) assists each resident in achieving and maintaining their highest practical level of physical, mental, and psychosocial well-being through providing medication, treatment administration and quality, personal care; and (b) utilizes the nursing process in planning, directing and providing direct care to residents in accordance with professional nursing practice standards, established policy and procedures, individual plan of resident care and regulatory requirements.

Primary Responsibilities
1) Provide direct care to residents under individual plans of care, administering care and medications per doctor’s orders.
2) Collaborate with the IDT (interdisciplinary team) to ensure adequate and appropriate flow of services.
3) Supervise dining room activities, assisting residents with eating as needed.
4) Assist throughout the admission process to ensure smooth transition of new residents.

5) periodically perform the comprehensive assessment of residents with acute changes of condition, and attend resident Care Conferences as needed.

6) Oversee and lead nursing staff, including LPNs, NARs, and TMAs.

7) Serve as clinical resource to staff regarding nursing care of residents. Provide in-service education as requested.

8) Maintain and complete all required documentation and charting on the computer or on forms in an accurate and timely manner according to policies and procedures.

  • Current and unrestricted licensure in the State of Minnesota as an RN required.
  • Current Adult CPR certification required.
