SUMMARY

The Compensation and Benefits Specialist is responsible to the day-to-day administration and analyzing of the compensation, benefits, performance appraisal, and other rewards programs. Responsible for assisting with the planning, development and implementation of new and enhanced compensation, benefits and other rewards programs.

PRIMARY RESPONSIBILITIES

  • Responsible for the administration of the Health and Welfare Programs, COBRA and Employee Assistance Programs.
  • Process benefit bills, validating enrollment and coverage information as needed.
  • Service as primary contact for plan vendors and third-party administrator. Coordinate the electronic transfer of data.
  • Coordinate benefit processing. Maintain employee benefit files and the update of benefit records in the HRIS system.
  • Responsible for the tracking and compliance related the Affordable Care Act.
  • Annual Open Enrollment oversight, including presentations, communications and planning.* o Work closely with employees to ensure understanding of available benefit programs, actively engage in problem resolution.
  • Participate in vendor selection. Work closely with brokers and external support to monitor plan participation and proactively recommend changes to maintain compliance or competitive market edge.
  • Maintain the HRIS system for the annual performance appraisal process and provide training and support to the organization throughout the process.
  • Responsible for the administration and analytics regarding Sholom Compensation Programs.
  • Manage the participation in compensation and benefit surveys. Support business decision making and budget process through market study and benchmark analysis. Recommend changes to ensure the maintenance of the company’s objectives and competitive position in the marketplace.
  • Facilitate the planning of annual merit increase, equity adjustments and business-need promotion processes.
  • Assist in the variable pay plan development, communication and administrative oversight.
  • Perform job evaluations, reviewing, creating and updating job descriptions, including assignment of FLSA, EEO and Work Comp classifications.
  • Provide input into managing company Compensation and Benefit budget.
  • Recommend new and/or improved employee benefit plans and cost-savings measures.
  • Provide internal analysis and executive summaries of plan performance, recommending changes to health and welfare plans including fund changes in retirement plans.
  • Work alongside Compensation and Benefits Manager to improve the compensation and benefit programs as organizational needs dictate.
  • Participate actively in health and welfare plan reviews and various committees.
  • Research, verify and ensure compliance with legal requirements of various employee benefit programs, including nondiscrimination tests, annual audits, preparation, filing and dissemination of required legal reports.
  • Assist in the development and training of communications and presentations in relation to reward programs, including General Orientation and ad hoc training as organizational needs dictate.
  • Act as liaison between employees and insurance companies in resolution of claims problems.
  • Support various other HR responsibilities as needed.

 

JOB SPECIFICATIONS

Education, Experience and Credentials

  • One or more years’ of benefits and compensation experience within a professional environment preferred.
  • Experience in Healthcare or nonprofit industry experience highly desired.
  • Bachelor’s degree in Human Resources or related field preferred. An equivalent combination of professional experience and education considered at discretion of management.
  • SHRM-CP or PHR certification preferred.

SUMMARY

The Campus Director of Physical Plant is responsible for planning, organizing, developing, evaluating and effectively directing the Engineering/Maintenance staff and programs in order to ensure a safe and secure environment for all customers consistent with regulations and established best practices. The Director will oversee and manage the Engineering Department to ensure the buildings’ physical plant is operational to meet the needs of residents, tenants and staff, supervises and oversees the maintenance of the facility and grounds, keeps them in good repair, and oversees the use of contracted services for the building, grounds and equipment maintenance.

PRIMARY RESPONSIBILITIES

  • Direct the operations of the Engineering department, including supervision and development of staff. Plan, direct, implement and oversee all services and procedures related to the overall operation, maintenance and repair of the building, grounds and equipment consistent with regulations, established policies, procedures and best practices.
  • Buildings & Grounds – Establish, implement and maintain a plan for maintenance/engineering services consistent with resident needs, safety issues, operational needs and budget parameters. Participate in completing scheduled plant operations work. Regularly solicit customer feedback and incorporate solutions regarding customer satisfaction with services. Establish and maintain effective communication systems with all customers. Supervise the work of planned construction projects. Coordinate the work and assist with obtaining, maintaining and updated of contracted services related to building, grounds, and equipment maintenance. Implement an effective pest control program. Coordinate fire and emergency procedure drills according to regulatory requirements. Develop, implement and maintain a complete grounds care and snow removal program.
  • Equipment – Confer with Site Leaders, equipment representatives, contractors, and sales representatives regarding building equipment problems, service contracts and future expansions. Ensure maintenance of campus equipment (boilers and related auxiliary equipment) in safe operation condition at all times. Ensure emergency power system and procedures are functional and in place Maintain building ventilation systems to provide good air movement with acceptable temperature, humidity and odor levels. Ensure monitoring, maintenance and testing of fire panels, extinguisher, security panels, resident call systems, electrical, alarm and other systems per regulatory requirements and standards of practice.
  • Preventive Maintenance Program –Implement the established Preventive Maintenance program in collaboration with site leaders. Input all building and grounds equipment into the established program to create and implement a preventive maintenance schedule for all equipment. *
  • Develop, implement and maintain annual budget for Engineering/Maintenance Services. Prepare and maintain regular reporting of financials, supplies, equipment, staffing etc. in relation to budget and strategic plan items. Manage resource allocations, including use of supplies, equipment and labor in order to achieve or exceed operational goals. Ensure compliance with corporate capital expenditure and operating expense-reporting systems recommend or institute changes in techniques or procedures for more efficient operation.
  • Maintain adequate inventory of supplies and equipment to sustain operations.
  • Provide for an adequate staffing model, schedule and on-rotation that meets customer needs and financial goals. Demonstrate good stewardship of available resources.
  • Ensure the oversight of the Engineering departments, including planning, budgeting, and delegating to ensure the buildings’ physical plant is operational to meet the needs of residents, tenants and staff.
  • Create and maintain a work environment for employees that is conducive to high productivity and morale. Establish and maintain effective communication systems with employees. JOB SPECIFICATIONS

Education, Experience and Credentials

  • Degree from an accredited technical school, college or university in Engineering, Building Operations or related field required; or equivalent experience determined at management discretion.
  • Five or more years’ management experience in facilities operations required, preferably in a senior services setting.
  • State of Minnesota First Class “C” or higher Boiler’s License preferred.
  • Certified Pool Operator (CPO) license preferred. Upon hire, must obtain CPO within three months. (East Campus Only)

  • Operates passenger bus/van as needed to assure safe transportation of residents/tenants to and from various program destinations and assists residents or tenants before, during and following transport. Ensure the health and safety of residents/tenants by driving safely and obeying all traffic and Sholom regulations.

Care Center & Assisted Living Specific Functions

  • Participate as a member of an Inter-Disciplinary Team (IDT) to assess and address resident/tenant needs in a consistent cross-disciplinary manner. *

    • Meet and greet new residents/tenants and complete initial clinical therapeutic recreation assessment. *
    • Complete all necessary paperwork and documentation ensuring compliance with the Minimum Data Set (MDS) 3.0 as needed. *
    • Communicate and care plan MDS findings to IDT, as appropriate.
    • Track resident/tenant leisure participation (programs and independent). *
    • Update IDT about significant observations and/or concerns with residents/tenants. *

The Registered Nurse (RN) (a) assists each resident in achieving and maintaining their highest practical level of physical, mental, and psychosocial well-being through providing medication, treatment administration and quality, personal care; and (b) utilizes the nursing process in planning, directing and providing direct care to residents in accordance with professional nursing practice standards, established policy and procedures, individual plan of resident care and regulatory requirements.
